Talking about money can be one of the more uncomfortable parts of freelance life. However, you’ve done the work and you’re worth it! So, let’s give you a few email templates you can use to ask for payment.
Here’s a standard email you can use when sending a client an invoice. It’s really simple, doesn’t clutter up anyone’s inbox, and gets the job done.

Many freelancers choose to work on a retainer or monthly fee basis. Here is a template you can use to bill your clients and also remind them why you’re the best. All you need are a few positive results or highlights to include.
3 Highlights from May. Invoice also attached.
Hi Brittany,
Thank you for continuing our partnership for another month. Here are some of the highlights of this month:
It’s also billing time, so I’ve attached an invoice for May. The amount due is our normal fee of $3600. Please arrange payment within 7 days.
Thank you again for this collaboration. I’m enjoying our work together and hope you see the value of these results as well.
Sincerely,
Louise Packard
One of the best things you can do to protect your cash flow and income is ask for a deposit for your services before you begin working. You can use this template to request payment for the deposit and begin working. All you need is a contract and deposit invoice to attach.
Arrange a deposit to LAUNCH YOUR PROJECT
Hello Charlie,
Thank you so much for agreeing to work with me. As we discussed, our work will begin with a contract and a deposit. I’ve attached the contract and deposit to this email.
The amount of the deposit is $2,600. Once you arrange payment, our contract will start and I’ll get to work for you.
If you have any questions, please reach out to me by email or phone.
Thank you,
Louise Packard
Many projects run for weeks or months before finishing. Along the way, freelancers set milestones for their clients. Once these are achieved, a partial payment is made. This is a simple email template you can use to ask for a milestone payment.
We just PASSED A MILESTONE! Invoice attached.
Hi Trevor,
We recently finished the first drafts of our project. Everything seems to be progressing according to the project plan we discussed in the beginning of our work.
Here are some highlights of the project so far:
As we discussed, a partial payment is due now that we have completed this stage of the project.
I have attached an invoice for this milestone payment. The amount due is $945.00. Please arrange payment within 14 days.
In the meantime, I’ll be starting on the next phase of the project.
If you have any questions, please send me an email or call me.
Many thanks,
Louise Packard
Freelancers in service industries, like photographers or beauty therapists, normally ask for a deposit to secure a booking or appointment. We’ve created a simple and friendly email template you can use to ask for this deposit.

I charge $60 to secure appointments. You can pay this using any of these methods:
It will be great to set this booking up and confirm the date. Once you arrange payment, a confirmation email will be sent to the email address you provided.
