Project description

From what we talked about on the phone you’ll be needing our service for a conference of 150 people. This isn’t a problem for us, the main thing we will need on your part to begin are any allergies that are known, even though we tend to have a fair amount of alternatives always ready, as food allergies are extremely common, and we don’t want any of your attendees to go hungry.

Once we come to an agreement on what theme you had in mind for your menu, we’ll come up with a variety of menus for you to pick from.

Objectives

Let’s look at how we will cater your event in the best way possible:

  • Once you have reviewed and picked the menu of your choosing, we will decide which way you would like to have the menus graphically.
  • After we’ve worked out the menu graphics it is time to decide on how we will decorate your event.
  • Ideally a weekly meeting would benefit both parties as to not have any miscommunications.
  • Once the design, and the hospitality aspects are decided upon we will go ahead and meet so you can taste the courses we will prepare for your event.

Deadline and deliverables

We will ensure that everything you have decided upon will be fresh the day of the event, and cooked on site as per agreement.

  • Menu ideas will be sent after one week of our contract signing.
  • Once the menus are accepted we will have a meeting after another week to talk about design, and hospitality.
  • Each course will be prepared during the times we have agreed upon, as to ensure your attendees have the freshest food possible.

We want to make sure your attendees will leave the event talking about your conference for years to come, not just the next morning.

Payment terms

Projects such as this one require a large upfront cost from my end. To help these events happen, I offer a schedule of payments. Here are the payment milestones:

  • 10% initial payment due upon signing the contract to reserve the catering services for the date required. 
  • A further 40% of the total will be invoiced 30 days prior to the event.
  • Payment of the remaining 50% will be due 7 days prior to the event.

All invoices will be sent after contract signing by both parties. Each invoice is payable within 5 business days of receipt. Late payments may result in suspension of work and/or late fees as specified in the contract.

Agreement

Once you agree to this proposal, I will prepare a simple contract for this catering event.

The contract will reference the terms of this proposal, including any amendments you suggest. If you agree to these terms, please sign below, and return this proposal to me.
