Thank you for contacting me. I put this proposal together based on our conversations. 

Here are a few quick observations:

  • Sylvia Hampton is launching a new product line for their hiking backpack products. New, appealing copy is needed for the product names, descriptions, and the launch ad campaigns on their website and social media channels. The new copy should be ready for the launch in October before the holiday season.
  • William Vidrine will write the copy for all these outlets and coordinate with the art team to create effective copy for the ad campaign creatives.
  • The goal is to launch the products in October. This soft launch will provide a short trial before the big selling weeks of the holiday season. The ad campaigns should be ready no later than mid-September to allow for focus groups and ad testing before the budget ramps up during the soft launch.

Project description

Based on your information, Sylvia Hampton wants to launch a new product line and so needs to develop new copy for every aspect of the launch campaigns. This includes:

  • The product titles and major product descriptions
  • Variations of the descriptions for use in different formats
  • Ad creatives for campaigns on Instagram, Facebook, TikTok and YouTube.
  • Coordination of the efforts of the ad creation teams to ensure on-time delivery for the testing phase in mid-September and soft launch in October.

Bringing all these efforts together will require managing other freelancers across multiple time zones and countries. William Vidrine will coordinate all these brilliant individuals to deliver the project on time.

Objectives

Here is the plan for how my Copywriting services will meet your goals. Let me break down the specific targets and how they will be met.

  • The first big objective is simply to meet with your product manager and see the products. This will be done virtually, and as quickly as possible.
  • Following the product meeting, an initial draft of the product names and overarching theme for the copy and ad campaigns will be proposed.
  • Once the product names and overarching theme have been approved, the rest of the work and timeline can be laid out. A rough schedule could be:
  • Product name and main descriptions written
  • Ad campaigns conceptualized for each advertising campaign
  • Ad teams formed for each campaign
  • Final copy for product descriptions, including variations, finalized for use
  • Draft ad campaigns produced for review
  • Final ad campaigns produced
  • Once this schedule has concluded, we should be in a position to begin the testing phase during the second half of September.
  • Following the tests in September, we will conduct a soft product launch in October.
  • Tweaks and changes to the ad creatives will be made during the months of September and October in time for the main launch in the second half of November.

There are thirteen weeks between now and the initial launch for testing in September. This is a good time frame for developing a multi-channel launch, but work should begin as soon as possible.

Deadline and deliverables

I am committed to meeting your deadlines and delivering quality business work on schedule. Here are the milestones for this project:

  • Two weeks, the initial product meeting will be conducted. Product names and the overarching theme for the product line will be proposed, reviewed, and accepted.
  • During the next two weeks, all the product names and descriptions will be written. These will form the basis of the creative brief given to those developing the ad campaigns, so it is essential this information is in place early on.
  • Once the product descriptions are in place, we will conceptualize each of the five main ad campaigns. The concepts will be produced, reviewed, amended, and approved for development. The concept creation phase should require two weeks.
  • After the ad campaigns have been approved, ad teams will be put in charge of developing each ad. William Vidrine will personally oversee the use of sales copy and storytelling in each of these campaigns. From appointment to final draft, each ad team will have six weeks to fully develop their ad campaign, including multiple creatives for initial contact, repetition of ads, and remarketing materials.
  • All together, the above steps will take twelve weeks. An extra week is available in the schedule for tweaking and editing.
  • In mid-September, the ad campaigns will launch on a limited scale on all the platforms. The purpose of this small launch is simply to test the elements of each ad and make tweaks before the primary campaign. These tweaks will save money and increase the chances of success.
  • In mid-October, the soft launch will take place. All the campaigns will have their budgets increased and further testing will be carried out. Changes and revisions will be made as necessary.
  • Finally, the main product launch will take place one week before Black Friday in November. Ads will be monitored by another agency, but I will remain on retainer for editing if that is required.

Payment terms

Structuring your payments is important for your cash flow and the client’s clarity. List specific payments and dates in your proposal to avoid any confusion. You should also include details about any extra work or extra charges for your Copywriting services.

Projects such as this one run for a number of months before concluding. To facilitate these projects, I offer a schedule of payments. Here are the payment milestones:

  • 25% initial payment due upon signing the contract and before any work begins. 
  • Payment of the remaining 75% will be spread over the remaining six months of the contract. This contract should begin in June and conclude in December, after the holiday season.

All the copies should be reviewed multiple times during the process. Once the project enters the retainer phase (in November), the retainer provides for five hours of work per month. Any work required beyond this will be billed at an hourly rate of $95 per hour.

Electronic invoices will be sent once the contract has been signed and milestones passed. Each invoice is payable within 10 business days of receipt. Late payments may result in suspension of work and/or late fees as specified in the contract.

Agreement

Once you agree to this proposal, I will prepare a simple contract for this copywriting project. The contract will reference the terms of this proposal, including any amendments you suggest. If you agree to these terms, please sign below, and return this proposal to me.
