Thank you for contacting me. I put this proposal together based on our conversations.

Here are a few quick observations:

  • Sylvia Hampton is launching a new product line for their hiking backpack products. New, appealing copy is needed for the product names, descriptions, and the launch ad campaigns on their website and social media channels. The new copy should be ready for the launch in October before the holiday season.
  • William Vidrine will write the copy for all these outlets and coordinate with the art team to create effective copy for the ad campaign creatives.
  • The goal is to launch the products in October. This soft launch will provide a short trial before the big selling weeks of the holiday season. The ad campaigns should be ready no later than mid-September to allow for focus groups and ad testing before the budget ramps up during the soft launch.

As you continue through this proposal, you will see how my website design services can help you meet your goals and your deadlines.

Why William Vidrine for copywriting services?

Launching new products is getting more complicated all the time. Smart brands launch their products across multiple channels simultaneously, but this kind of coordinated launch requires a mix of creativity, copywriting, and project management to bring all the moving parts together at the critical moment.

Thankfully, I specialize in multi-channel product launches. I have helped dozens of companies launch new products in multiple marketplaces, countries, and on every major social media platform. During three decades of marketing and copywriting, I have developed the skills to write effective and engaging copy as well as the ability to manage teams through the process of launching multiple ads in larger campaigns.

Here are some testimonials from previous clients:

  • William Vidrine was great to work with. He wrote a new copy for our line of tactical products on Amazon and our conversion rates jumped by 4% overnight. These product pages are still our highest converting pages. Every project we’ve put him on since then has been successful.
  • William Vidrine is a brilliant professional. He helped us create a new ad campaign and advertising angle for our hybrid sports boots. Our launch on four social media channels and Amazon was a huge success.

My clients value my professionalism, commitment to deadlines, and the results I give them.

Project description

Based on your information, Sylvia Hampton wants to launch a new product line and so needs to develop new copy for every aspect of the launch campaigns. This includes:

  • The product titles and major product descriptions
  • Variations of the descriptions for use in different formats
  • Ad creatives for campaigns on Instagram, Facebook, TikTok and YouTube.
  • Coordination of the efforts of the ad creation teams to ensure on-time delivery for the testing phase in mid-September and soft launch in October.

Bringing all these efforts together will require managing other freelancers across multiple time zones and countries. William Vidrine will coordinate all these brilliant individuals to deliver the project on time.

Here is the plan for how my Copywriting services will meet your goals. Let me break down the specific targets and how they will be met.

  • The first big objective is simply to meet with your product manager and see the products. This will be done virtually, and as quickly as possible.
  • Following the product meeting, an initial draft of the product names and overarching theme for the copy and ad campaigns will be proposed.
  • Once the product names and overarching theme have been approved, the rest of the work and timeline can be laid out. A rough schedule could be:
  • Product name and main descriptions written
  • Ad campaigns conceptualized for each advertising campaign
  • Ad teams formed for each campaign
  • Final copy for product descriptions, including variations, finalized for use
  • Draft ad campaigns produced for review
  • Final ad campaigns produced
  • Once this schedule has concluded, we should be in a position to begin the testing phase during the second half of September.
  • Following the tests in September, we will conduct a soft product launch in October.
  • Tweaks and changes to the ad creatives will be made during the months of September and October in time for the main launch in the second half of November.

There are thirteen weeks between now and the initial launch for testing in September. This is a good time frame for developing a multi-channel launch, but work should begin as soon as possible.

Any adjustments to the plans can be made by sending me a message via the Slack channel or by email at

Deadline and deliverables

I am committed to meeting your deadlines and delivering quality business work on schedule. Here are the milestones for this project:

  • Two weeks, the initial product meeting will be conducted. Product names and the overarching theme for the product line will be proposed, reviewed, and accepted.
  • During the next two weeks, all the product names and descriptions will be written. These will form the basis of the creative brief given to those developing the ad campaigns, so it is essential this information is in place early on.
  • Once the product descriptions are in place, we will conceptualize each of the five main ad campaigns. The concepts will be produced, reviewed, amended, and approved for development. The concept creation phase should require two weeks.
  • After the ad campaigns have been approved, ad teams will be put in charge of developing each ad. William Vidrine will personally oversee the use of sales copy and storytelling in each of these campaigns. From appointment to final draft, each ad team will have six weeks to fully develop their ad campaign, including multiple creatives for initial contact, repetition of ads, and remarketing materials.
  • All together, the above steps will take twelve weeks. An extra week is available in the schedule for tweaking and editing.
  • In mid-September, the ad campaigns will launch on a limited scale on all the platforms. The purpose of this small launch is simply to test the elements of each ad and make tweaks before the primary campaign. These tweaks will save money and increase the chances of success.
  • In mid-October, the soft launch will take place. All the campaigns will have their budgets increased and further testing will be carried out. Changes and revisions will be made as necessary.
  • Finally, the main product launch will take place one week before Black Friday in November. Ads will be monitored by another agency, but I will remain on retainer for editing if that is required.

My services have a reputation for organization, follow through, and prompt delivery. I take pride in this reputation and look forward to delivering exceptional results for Sylvia Hampton.

Payment terms

Structuring your payments is important for your cash flow and the client’s clarity. List specific payments and dates in your proposal to avoid any confusion. You should also include details about any extra work or extra charges for your Copywriting services.

Projects such as this one run for a number of months before concluding. To facilitate these projects, I offer a schedule of payments. Here are the payment milestones:

  • 25% initial payment due upon signing the contract and before any work begins.
  • Payment of the remaining 75% will be spread over the remaining six months of the contract. This contract should begin in June and conclude in December, after the holiday season.

All the copies should be reviewed multiple times during the process. Once the project enters the retainer phase (in November), the retainer provides for five hours of work per month. Any work required beyond this will be billed at an hourly rate of $95 per hour.

Electronic invoices will be sent once the contract has been signed and milestones passed. Each invoice is payable within 10 business days of receipt. Late payments may result in suspension of work and/or late fees as specified in the contract.

Once you agree to this proposal, I will prepare a simple contract for this copywriting project. The contract will reference the terms of this proposal, including any amendments you suggest. If you agree to these terms, please sign below, and return this proposal to me.

Thank you very much. I look forward to working with Sylvia Hampton.

Copywriting Proposal Template FAQ

What is a Copywriting proposal template?

A proposal template is a document you prepare in advance to make writing specific proposals easier. You can include reusable chunks of content in your proposal, such as client testimonials, a description of your business, and your regular terms and conditions.

Writing great proposals is one of the best things freelancers can do to fill up their pipeline with more work to do. Attractive proposals with a clear structure help convince potential clients to hire you.

Investing time in a template means your future proposals will look better than ever with far less work. When you sit down to write a new proposal, all the beautiful design elements, document structure, and common blocks of information will be ready for you. Turning your template into a full proposal will be very quick.

Creating a template will help you improve the professionalism of your documentation because every new proposal will have a foundation of great design, clear structure, and perfectly selected reusable content.

How to write a Copywriting proposal template?

Writing a Copywriting proposal template is simple. We'll show you a process for making your own with the help of this guide.

First, you need a few things:

  • You’ll be using a document editor. You could use a separate app such as Word, Google Docs, Adobe InDesign, or Pages.
  • When you use our Proposals tool, it’s really easy to connect your proposal to client records, a job contract, time tracking and invoices later.
  • You should also have access to any external files or media you want to include. For example, you will want your logo and pictures of landing pages you have already finished.

Now that you have those things, you can begin writing your Copywriting proposal template.

Look through your past proposals and pick out the most successful ones. You can use these to help you choose the elements of your new template. Customer testimonials, your company description, and other information can be recycled into your new template to make your future proposals more successful.

If you don't have a complete template, then writing your own proposal from scratch using Indy's template is easy. Simply create a new one and start editing!

Here are the basic steps:

  1. In your new proposal template, add your company information and branding.
  2. Review the sections in the template and add or remove sections as you need them.
  3. Add information to each section. Focus on what you can reuse for every client.
  4. Once you have added all the reusable information, save your work.

That’s it! Your new proposal template is finished.

Test your new template by using it to write a complete proposal. Make a note of anything you need to add to create a full proposal. These things could be added to your template to make future proposals even easier to write.

What should be in a Copywriting proposal template?

Copywriting is a very competitive field. Your proposal should show you can deliver quality work, quickly, and within an agreed budget. Strong customer testimonials will also help to provide proof of your abilities.

Here are the elements we think you should include in every Copywriting proposal:

  • Beautiful Cover Page. Your cover page is your first chance to make an impression on your potential client. Make it work for you.
  • Service Description. You should describe your services for your client. Try to think in terms of benefits to the client, not simply features you offer.
  • Design Process and Milestones. Describe your working process and what the client can expect when they work with you on this project.
  • Social Proof. By now, the client may be leaning towards hiring you. Add a portfolio section here and utilize case studies, customer testimonials, and feedback as evidence of the quality work you can deliver.
  • Costs and Pricing. Successful proposals focus on value, not costs. Don’t move on to your pricing until your proposal has established the value you will give to the client.

From here, you can wrap up the proposal template with next steps the customer can take. These can include:

  • A digital signing service for making the approval process happen much faster.
  • A standard contract your client can review. Your contract can reference your proposal to make the client-specific sections relevant.
  • You can also include a payment method here to help your client get started quickly.

An attractive, clear, and persuasive proposal tells your potential client that you are a professional. This will put you miles ahead of the competition that just sent an email or a plain proposal.

How can a free Copywriting Proposal Template help you win more clients?

The secret to winning more clients as a freelancer is to build your client’s confidence in your abilities. Proposal templates helps you do this in a few ways:

  • A template can make you look more efficient. Imagine having an initial discovery call with a client, hanging up the phone, and sending them a finished proposal less than half an hour later. They will know you mean business and have the organization to deliver what they need.
  • A well-designed proposal template is going to turn into a proposal that impresses clients. The design, attractiveness, and appearance should appeal to the client. If they receive a beautiful proposal just moments after finishing the call, they will know you understand how to work quickly and still produce great results.
  • Finally, a proposal template will help you win more clients by freeing up your time to work on projects that are even bigger deals. If turning your template into a live proposal takes just fifteen minutes, you can use the time saved for other things like going back and forth with leads or finding new ones altogether.

Those are three ways your proposal template can help you land more jobs. Get started with one as soon as possible to begin reaping the benefits.
