Social Media Management Proposal Template FAQ

What is a social media management proposal template?

A social media proposal is a document that explains how your expertise and understanding of your industry’s subject matter would benefit potential clients—it gives your client a formalized version of your thoughts, outlined clearly in a way that accurately represents how your services will improve their current social media management strategy.

In essence, a social media management proposal is you as a digital media marketer or strategist—in proposal form.

When it comes to the management of a client’s social media channels, strategy is essential. In fact, it’s the whole point of the proposal: to demonstrate step-by-step to your potential client your specificaled objectives and goals for improving their current social media strategy.

The key, however, is to demonstrate your capabilities as a freelancer and the benefits of choosing your services over the competition without giving away your entire strategy in the proposal. Once you’ve figured out what it is your potential client seeks from a social media management solution, you can begin crafting your social media management proposal to meet the specific needs of the prospective client.

Once you’ve established your strategy and are ready to present your plan to your potential client, you’ll need to outline your plan through a formal proposal—in order to create this branded document, you’ll use a social media management proposal template produced in the document development software of your choosing.

Depending on the level of functionality you expect from your document development tools, your chosen program should give you the tools necessary to create a social media management proposal template that accurately reflects your brand while also organizing all the key elements of your social media strategy.

For freelancers who desire the ease-of-use of a word processor for the creation of their digital proposals, a document development program such as Microsoft Word or Google Docs will serve as a manageable, affordable option. The basic customization tools offered by both programs allow users to easily brand their materials according to their organization’s unique color scheme and font families. For freelancers in need of more guided direction for creating their digital proposals, both programs offer a selection of pre-designed templates that can easily be updated in-platform. From there, freelancers can easily update their proposals to more effectively emphasize the various layers of their proposal using a range of formatting tools. For easy sharing with potential clients, both programs support multi-format exporting, and with Google Docs, readable versions of the final proposals can be shared digitally to clients with Google accounts.

Alternatively, freelancers who wish to further streamline the proposal-writing process may opt to utilize the cell-based organizational functions supported by popular spreadsheet software such as Microsoft Excel or Google Docs. Both platforms provide users with basic customization tools for document branding, as well as a modest selection of pre-designed templates that can be updated according to the organization and flow of your proposal. By using spreadsheet software to create your document, you add a creative flair to your proposal that’s demonstrated by the flexibility of your presentation medium.

How to write a social media management proposal template?

In order to convey your ideas to a potential client clearly and accurately, your social media management proposal template should cover all key components of your strategy early on in the proposal before breaking off into more focused sections. In those sections, freelancers can use the space to expand upon their key strategy points, providing the potential client with a more in-depth look at each of the plan’s subcomponents.

From there, the next stage of the proposal writing process will involve creating the actual material that describes your social media management strategy in fuller, more complete detail. Remember, the goal of your social media management proposal should be to demonstrate your understanding, as a freelancer, of the potential client’s business and social media management needs.

Clients frequently understand that they require assistance with social media management but are unable to articulate why they need support or what exactly their social media goals are. As such, freelancers must provide an overview of the clients’ needs, as well as an outline of how each component of your strategy will address those needs, within the initial proposal.

Once you’ve written out your social media management proposal, making sure that your plan touches upon all key elements of your social media strategy and effectively expands upon each subpoint, you can begin formatting the social media management proposal template to streamline future proposals of the same type.

In order to craft a social media management proposal that effectively demonstrates your ideas in a clear, concise, and organized way, your template should use the power of organizational hierarchy to your advantage.

Depending on the number of layers involved in your social media management strategy, the formatting of your proposal headings will vary. The key, however, is to compose the document in such a way that each section of your proposal emphasizes the various layers of your social media plan for the given client and project. Use bolded or italicized headings to organize the various layers of your proposal, taking into account the position of various elements in relation to the overall timeline of your management plan.

Once you’ve established the flow of your proposal through document formatting, you can begin the process of finalizing your social media management proposal template for future use. To turn your social media management proposal into a template, first you’ll need to choose the document development program that’s best suited to the unique needs of your freelancing operation and your existing clients.

Depending on the level of functionality you desire from your document development program, tools offered by the Microsoft Office and Google suites provide the essential customization tools and editing capabilities necessary to craft a basic social media management proposal template. As you consider the various options for building your proposal template, explore additional programs that focus on ease-of-use and functionality, including Excel or Google Sheets.

If you’ve already used a word processor to write your proposal, such as Word or Google Docs, you can save time by saving your proposal as a template within its local folder or a designated Drive location.

What should be in a social media management proposal template?

Every effective social media management proposal will include four basic components, including the following key elements:

  • existing process analysis
  • project/work scope
  • deliverables, deadlines, and milestones
  • proof and terms of work

As you perform research to inform your social media management strategy and subsequent proposals, you’ll be taking a thorough look at the potential client’s existing social media processes and management workflows. In this section of your social media management proposal template, be sure to include all information relevant to your observational findings. Manage the expectations of your potential client by emphasizing the performance of their current social media processes, as well as the ways in which your proposed social media management solutions will improve those workflows for the prospective client going forward.

The next section of your social media management proposal template should outline the scope of your strategy and proposed action plan. In this section of your proposal template, ensure all activities, tasks, and services that will be performed as part of a potential work agreement have been outlined in complete detail. Include important strategic elements such as posting frequency, brand guidelines, keyword monitoring, and content creation and/or curation.

By clearly outlining the scope of your work, you establish with your prospective client early on both the potential benefits and limitations of your social media management proposal. In this section, highlight exactly what it is that you’re offering your potential client with regards to the improvement of their social media strategy.

From there, your proposal template should highlight all information relevant to the deliverables, deadlines, and milestones associated with the project. If your project involves the turnover of deliverable content, including social media copy or graphic work, this section of the proposal template should outline the items related to that content. This section of the proposal should also note all relevant deadlines and milestones associated with the services suggested in the proposal.

Finally, your social media management proposal template should outline details related to the proof and terms of the provided work. In this section of the proposal template, outline how the performance of your social media campaign will be measured at the end of a designated period that will need to be agreed upon between the freelancer and the client.

Additionally, this section of the proposal template should also detail the terms of the project, including all information related to billing methods and practices; project and transactions fees; freelancer-specific workflow details; and any other policies relevant to the project as outlined by the freelancer.

To avoid unnecessary back-and-forth with the prospective client when communicating digitally, it’s best practice to outline next steps within the proposal itself. Information related to any agreement or proposal amendment deadlines, for example, may be useful to include in the final version of the proposal template.

While the above-outlined elements are all important components of a social media management proposal template, there are a wide range of methods for producing effective, high-quality proposals. As you build out your social media management proposal template, it’s important to keep in mind that the length of your proposal will vary depending on the client, and you can adapt your proposal template based on the unique demands and characteristics of each social media management strategy.
